    1. Our role in your data, how to contact us

    Controller: Handovers App Ltd (16455980).
    Contactinfo@handovers.app (data rights & support).


    If a hospital purchases private channels, Handovers acts as processor for that hospital’s private “Hospital Handovers” content; the hospital is the controller for that content. We remain controller for your account and general app usage.

    2. What we collect

    • Account & profile: name, professional info (profession/specialty/grade), avatar, email, date of birth (if provided), moderator flag, NHS verification flag.

    • Community content: posts, comments, links, media, tags, upvotes/bookmarks.

    • Association & membership: hospital memberships (with expiry), huddle memberships.

    • Device & usage: app version, device ID, push token, IP address, user agent, timestamps, logs for security/fraud prevention.

    • Moderation & notifications: reports, appeals, outcomes, audit snapshots.

    • Support & comms: our shared correspondence if you contact Handovers.

    3. How we use data & legal bases

    • Provide and secure the service: contract; legitimate interests (fraud/security).

    • Verify eligibility, manage hospital affiliation & channel access: contract; legitimate interests.

    • Moderation, safety, and misuse prevention: legitimate interests; legal obligation where applicable.

    • Comms (transactional, not marketing): legitimate interests / contract.

    • Analytics in aggregate to improve the app: legitimate interests (we avoid identifying individuals where feasible).

    4. Sharing

    • Service providers (sub-processors) under contract: hosting, email, push, error logging/analytics.

    • Hospitals (for Hospital Handovers channels) receive content posted in their private channels and related metadata.

    • Legal/regulatory requests where required by law.

    (Sub-processors list will be maintained on our website and may include: Supabase (hosting/auth/email provider, push notification provider(s) (Apple/Google/Expo), analytics/crash reporting.)

    5. International transfers

    Where data is transferred outside the UK/EU, we use appropriate safeguards (e.g., SCCs).

    6. Retention

    • Account/profile: for the life of the account; limited backups persist for a time after deletion.

    • Posts/comments: retained unless you delete them or law requires retention; moderation audit snapshots are retained for legitimate interests.

    • Logs/analytics: typically 12–24 months.
      We’ll keep data only as long as needed for the purposes above.

    7. Your rights

    You have rights of access, rectification, erasure, restriction, objection, and portability, and to complain to the ICO. Contact info@handovers.app. We respond within 30 days.
     

    8. Children

    The service is 18+ only.
     

    9. Security

    We use industry-standard protections: TLS encryption in transit, access control and least-privilege, audit logs, and backups. No method is 100% secure.
     

    10. Changes

    We’ll update this notice as needed and notify you of material changes.

    1. Who we are

    2. The service

    Handovers (“App”) is a professional forum for UK healthcare professionals and students to exchange peer insights. The App includes:

    • Handovers Homepage (general audience),

    • Hospitals (public “Community Handovers” + private “Hospital Handovers” for affiliated staff),

    • Huddles (interest groups; some may be private to affiliated staff).

    You must be 18+ and a UK healthcare professional/student. You self-attest to eligibility.

    3. Intent.

    Handovers is designed to facilitate the exchange of working wisdom between clinicians, therefore any of the contained content is not medical advice, guidance, or instruction, and does not create a clinician-patient relationship. For emergencies call 999; for urgent medical advice call 111.

    4. Your account & domains

    We currently accept user registrations from professional domains (e.g., @nhs.net, @nhs.uk). You are responsible for safeguarding your account and complying with professional obligations.

    5. User-generated content (UGC)

    You are responsible for what you post. Do not post:

    • any information that identifies a patient or could reasonably do so,

    • personal data without a lawful basis,

    • harassment, hate, discrimination, doxxing or naming colleagues who are not using the app,

    • defamatory or unlawful content,

    • spam or malware.

    Raise formal concerns (e.g., patient safety, whistleblowing) through official NHS channels.

    6. IP rights

    • Global/Homepage & public Huddles: You retain ownership of your content. You grant Handovers a non-exclusive, worldwide, royalty-free licence to host, store, display, adapt for technical reasons, moderate, and sub-license to our service providers for operating the service.

    • Hospital Handovers (private, purchased by a hospital): By posting in a hospital’s private channel, you assign your IP in that post to the hospital associated with that channel, to the fullest extent permitted by law, or where an assignment is not possible, you grant that hospital an exclusive, perpetual, irrevocable, worldwide licence to use, reproduce, display, and adapt the content for internal communications and compliance. You waive (or agree not to assert) any moral rights to the extent permitted by law.

    • Future affiliation-restricted Huddles: the hospital associated with that Huddle will own the content on the same terms as Hospital Handovers.

    Handovers’ trademarks, brand, and software are owned by Handovers App Ltd.

    7. Moderation

    We may remove, restrict, or refuse content, and suspend or terminate accounts at our discretion. Our in-app flow: report → resolve/dismiss → appeal. We snapshot removed content for audit and due process. We aim for reasonable response times but do not guarantee SLAs.

    8. Privacy

    See our Privacy Policy for how we process personal data, legal bases, your rights, and contacts.

    9. Acceptable use

    You agree not to misuse the App, attempt to breach security, or interfere with other users. Do not post clinical content that identifies patients or locations/timings that could identify them.

    10. Disclaimers & liability

    The App is provided “as is”. To the extent permitted by law, we exclude implied warranties and limit liability for indirect or consequential loss. Nothing limits liability for fraud, death or personal injury caused by negligence, or other non-excludable rights.

    11. Changes

    We may update these Terms. We’ll notify you in-app and/or by email where material. Continued use after the effective date means acceptance.

    12. Termination

    You may delete your account at any time. We may suspend or terminate for breach or risk. Some provisions survive termination (e.g., IP licences already granted to hospitals, disclaimers, limitations).

    13. Law & venue

    These Terms are governed by the laws of England & Wales. Courts of England & Wales have non-exclusive jurisdiction.

    Handovers is a professional forum. To keep it safe and useful:

    1. No patient-identifying info (ever). De-identify thoroughly.
       

    2. No doxxing/naming non-users. Don’t name colleagues or individuals who aren’t present.
       

    3. No harassment, hate, discrimination, threats, or illegal content.
       

    4. No defamation or unverified allegations. Raise formal concerns through NHS channels, not Handovers.
       

    5. Stay professional. Debate is welcome; personal attacks are not.
       

    6. No spam or malware.
       

    7. Respect private spaces. Hospital Handovers are for affiliated staff; treat them as internal communications.
       

    8. Moderation. We may remove content, restrict accounts, and notify relevant parties per our Terms.

    Breaches can result in removal, suspension, or termination.
